Please note that by booking an appointment with Reflex Massage you are agreeing to our Terms & Conditions and our Privacy Policy. You also agree to attend the appointment you have booked.
APPOINTMENTS
You can make an appointment with Reflex Massage in a number of ways, including via my website, telephone, text or email. Appointments are available for 60 minutes.
Upon making a booking, you will receive an email confirming all the important details, along with an email or text reminder 2 days prior to your appointment.
If this is your first appointment with me, you will also receive a New Client Consultation Form via email prior to your appointment. Please complete this and return it at least 24 hours before your appointment. I will not be able to treat you until you have, and completion on the day will be deducted from your treatment time.
Please bring shorts with you to your appointment, this is for the purpose of an effective postural assessment and range of movement texts.
CANCELLATIONS & LATE ARRIVALS
Cancellation Policy: 24 hours. Please cancel as soon as possible if a foreseeable event is likely to prevent you from attending, for example, illness or adverse weather conditions.
I require a minimum of 24 hours’ notice to cancel an appointment. Failure to attend an appointment with less than 24 hours’ notice of cancellation will incur the charge for the full appointment, except for extenuating circumstances. This is because I may not be able to fill your appointment slot and still need to cover my costs.
An invoice for any cancellation/‘no show’ charges will be sent to you by email for payment by bank transfer within 7 days. Following a cancellation, payment must be received before any further appointments are made or aftercare advice is given.
Late Arrivals: It is important that our agreed appointment time and duration is adhered to. I appreciate that sometimes things happen, and you may arrive a little late or need to leave a bit earlier than planned. This is fine, but we cannot make up missed time by overrunning or adding time to subsequent appointments. You will be expected to pay in full.
CONFIDENTIALITY
All client information and clinical records will be safeguarded by Reflex Massage and will remain confidential. Unless required to do so by law, I will not otherwise share, sell or distribute any of the information you provide without your consent.
Consultations and client treatment details will not be discussed with anyone other than the client, unless the client is under 18 or has a care worker or guardian.
I will retain your information for a minimum of seven years as required by law, following your final treatment, and will have access to these records solely for the purpose of providing you with the most appropriate treatment.
HEALTH & SAFETY
I hold a current First Aid certificate and insurance is provided by Zurich insurance plc for professional public liability and DAS legal protection.
Due to the nature of massage and the need for close contact, I maintain a high standard of personal hygiene and clients are asked to ensure that they also maintain a high standard of personal hygiene.
If I am suffering from a virus, infection or general ill health, I will not be able to work due to the risks of cross contamination. I will contact you at the earliest opportunity to rearrange your appointment.
Clients are asked not to attend for a massage if they are unwell, suffering from a virus, infection or general ill health. Please contact me at the earliest opportunity to rearrange your appointment.
Reflex Massage will not be held responsible for the loss or damage of personal items during your time at the Reflex Massage Location, either at Little Green Refills or elsewhere.
Clients under the age of 18 years must be accompanied by a parent or guardian. This parent or guardian must give permission for the agreed massage to be performed, and will be requested to co-sign the New Client Consultation Form. They will be invited to stay in the room for the duration of the appointment and expected to remain present throughout the treatment.
Reflex Massage holds the right to refuse to treat any client who is physically or verbally abusive, or demonstrates inappropriate, aggressive or suggestive behaviour. Treatment will be terminated, full payment expected and this will be reported.
If you have answered ‘yes’ to a question in the consultation form, I may ask you to provide a letter from your GP/Surgeon/Specialist/Other relevant healthcare practitioner. If you do not provide this before, or on the day of your treatment, I reserve the right to decline treatment. This is for your benefit and safety.
If you are claiming for treatment through an insurance company, it is your responsibility to pay any excesses or dues to them relevant to your treatment.
If you fail to complete any remedial exercises or aftercare advice, this is your choice and may result in the prevention of desired results.
COVID-19
There will be an additional declaration form to complete stating that:
1. The client has not been in contact with anyone with Covid-19, in the last 7 days, to the best of their knowledge.
2. The client has not had any symptoms:
a. New continuous, dry cough
b. Temperature over 37.8°C
c. Loss of smell and/or taste
3. Should the client contract the virus, they must inform me as soon as possible
4. Depending on timing, I may need to contact other clients possibly affected.
There will also be a signed declaration from myself stating the same declaration.
REGULATORY
1. I am registered under the Information Commissioner’s Office as data controller for Reflex Massage. All personal information is stored digitally within the regulations of the ICO. If I need to share any of your information with your GP or other relevant healthcare professionals, I will discuss this with you first as part of your care plan.
2. I hold a current First Aid certificate and insurance is provided by Zurich insurance plc for professional public liability and DAS legal protection.
3. I am registered with the Massage Training Institute (MTI). Membership number 4447.
